How Taskdop works: Step by step first workflow

The best way to understand Taskdop is to follow a workflow from start to finish. In this article, we'll walk through every step from task creation to completion. Taskdop's core concept is the handoff — passing a task from one person to another, just like a soccer ball.

Step 1: Create a task

It all starts with creating a task. Clicking the "New Task" button opens a two-step modal. In the first step, you define the task: title (required), description (optional), due date (optional), tag/project, and attachments. The title should be a short, clear sentence describing the task. In the description, you can add details, what needs to be done, and any references. Moving to the second step, you select who to send the task to. You can search among your teammates and find the person quickly with autocomplete.

Step 2: Send the task

After selecting the person, you need to write a note to them. This note is mandatory — when sending a task, you must explain why you're sending it and what you expect. You can also set the expected output (optional) and notification rule (notify now / once daily / custom). When you hit send, the task is delivered. The task is now officially "passed." It appears in the sender's "Sent" tab and the recipient's "Incoming" tab on their Task Desk.

Step 3: Accept the task

The recipient sees the incoming task and has three options: Accept, Return, or Forward. When they accept, the task officially becomes their responsibility. The waiting time counter starts from this moment. If they return it, the task goes back to the sender with a note. If they forward it, they pass it to someone else. In every case, a record is added to the timeline: who, to whom, when, and with what note.

Step 4: Track and nudge

If a task has been waiting with the same person for a while, the sender can click the "Nudge" button to send a reminder. During nudging, you can select from ready-made templates ("What's the latest?", "Can this be closed today?", "Any blockers?") or write a custom message. You can also set a priority level (Normal / Important / Critical) and define a response timeframe if needed. The nudge is also recorded in the timeline and a notification goes to the recipient.

Step 5: Complete

When the task is done, the responsible person clicks the "Complete" button. The task is now marked as completed and disappears from the Task Desk. But its history doesn't disappear. All records in the timeline — creation, sending, acceptance, nudges, forwards — remain intact. You can access these records anytime and review past tasks.
